Your Bookkeeper Isn't Just There to Reconcile Your Bank Account...

When people hear the word bookkeeper, they often think of someone sitting at a computer matching transactions and making sure the bank account balances.

And yes, that's part of bookkeeping.

But it's definitely not all I do.

After more than 12 years working with small businesses, I've seen first hand how much more value a good bookkeeper can bring to a business than simply keeping the bank account reconciled.

So, what does your bookkeeper actually do?

They help you understand your numbers

Your accounting software might show you pages of numbers and reports.

But what do they actually mean?

A good bookkeeper should be able to explain what's happening in your business in plain English.

Are your sales increasing?

Are your expenses getting out of control?

Are you actually making a profit?

Is there money sitting in unpaid invoices?

The numbers are much more useful when you understand what they're telling you.

They help you keep on top of your money

It's not just about what's already happened.

Your bookkeeping can help you see what's coming up too.

Knowing who owes you money, what bills are due and what money needs to be set aside can make managing your cash much easier.

Because having money in the bank today doesn't necessarily mean it's available to spend.

They can spot things you might miss

You're busy running your business.

You're quoting jobs, answering customers, ordering materials, managing staff and actually doing the work.

You don't necessarily have time to look closely at every transaction.

That's where having another set of eyes can help.

A bookkeeper may notice things like:

  • A transaction that doesn't look right

  • A duplicate payment

  • An unpaid invoice

  • An unusual expense

  • A bill that has been entered incorrectly

  • A transaction sitting in the wrong place

  • Something that needs further investigation

Sometimes it's the little things that can make a big difference.

They help keep your records organised

Good bookkeeping means more than making sure the bank account balances.

It's about keeping your financial records organised and up to date so you can actually rely on the information in your accounting software.

When your books are kept up to date, you don't have to spend hours trying to figure out what happened three months ago.

And when BAS time comes around, you're not starting from scratch.

They can save you time!

This one is pretty simple.

Your time has value.

If you're spending three or four hours every week doing your bookkeeping, that's three or four hours you're not spending working with customers, completing jobs, quoting new work or simply having some time away from the business.

You might be able to do your own bookkeeping.

The question is whether it's the best use of your time.

They can help you make better business decisions

This is where bookkeeping can become really valuable.

Your numbers can help you answer questions like:

Can I afford to take on another employee?

Can I afford that new vehicle?

Are my prices covering my costs?

Which areas of my business are making money?

Why does the bank balance keep going up and down?

Can I afford to take on another big job?

Your bookkeeper isn't necessarily there to make those decisions for you.

But they can help make sure you have accurate, up-to-date information to help you make them.

They become someone who knows your business

Over time, your bookkeeper gets to know your business.

They understand how you operate, what your normal expenses look like and how money moves through your business.

That means they can often spot when something doesn't look quite right.

And for a small business owner, having someone you can simply call and say:

β€œHey, can you have a look at this? I'm not sure what's going on.”

can be incredibly valuable.

Your bookkeeper should be more than a number cruncher

For me, bookkeeping is about more than entering transactions and ticking boxes.

It's about giving business owners clarity, confidence and one less thing to worry about.

You don't need to understand every accounting term.

You don't need to spend your evenings trying to work out why something isn't balancing.

And you certainly shouldn't feel silly for asking questions.

Your bookkeeper should be someone who explains things, keeps you informed and genuinely cares about getting your numbers right.
